About Chicago Jazz Philharmonic

The Chicago Jazz Philharmonic is a non-profit organization whose mission is to present high quality musical performances and music education programs that bridge gaps in genre, artistry, and diversity. The organization seeks to be defined by its cross collaborations in jazz, classical, and other musical genres while working with schools to provide a linear track for music instruction, performance, and enrichment from kindergarten and beyond.

The Chicago Jazz Philharmonic prides itself on being an orchestra that developed from its educational programming, and its programs currently operate in seven Chicago area schools, serving approximately 650 students in weekly music instruction.

CJP’s Marketing and Communications Coordinator supports and implements the organization’s communications goals. A successful person in this position will be adept at communicating CJP’s mission and vision to a wide variety of audiences and stakeholders. In addition, this position is responsible for managing the organization’s patron databases, supporting marketing and fundraising campaigns, and working special events and concerts.

Marketing & Communications

  • Work with the executive director to refine and articulate the CJP’s brand and initiatives efficiently and accurately through existing and new media channels (website, printed materials, social media, radio, etc.)
  • Manage website content and make manual updates. Work with support from a third-party vendor, as necessary
  • Update and maintain a marketing calendar in collaboration with staff
  • Design and publish marketing pieces and graphics (i.e., solicitations, quarterly e-newsletters, electronic invitations)
  • Co-design gala invitations, education program collateral, program books, and electronic press kit packages
  • Refine and share consistent and effective communication and branding strategies with CJP staff, partners, and venues
  • Update and manage patron database (Salesforce) and e-marketing databases (Mailchimp, EventCreate, etc.)
  • Submit monthly campaign summaries for review that include website analytics, social media data, ROI, etc.; and provide suggestions for improvement for future marketing campaigns and strategy
  • Maintains physical and electronic marketing archives
  • Participate in associations, cultural events, and networking opportunities that enhance CJP’s visibility (i.e., DCASE, Arts & Business Council, etc.)
  • Assist in managing press relationships
  • Help create drafts of marketing and public relations campaigns
  • Write drafts of copy for marketing collateral based on approved campaigns

Record Keeping

  • Responsible for maintaining and updating patron database (Salesforce) to ensure accurate and current data
  • Serve as lead on patron database for the organization, connecting staff to training resources and acting as liaison with third-party vendors and contractors
  • Ensure third-party applications are integrated and working efficiently with patron database (i.e., Formstack, Stripe, etc.)

Special Events/Performances

  • Staff and manage Front of House duties at performances, camp performances, and other special events
  • Oversee registration sheets
  • Managing volunteers at registration/merch table

Audience development and community building

  • Overseeing ticketing for self-produced concerts
  • Liaising with ticketing and advertising efforts in partnership with area venues
  • Creating, distributing, and synthesizing audience surveys, post event
  • Reporting on ticket reconciliation, attrition rate
  • Providing customer service for ticket buyers and donors via email, phone, or other correspondence
  • Facilitate community relationships
  • Information/Social Media swap with partnering organizations

 Budgeting

  • Overseeing annual marketing department budget with the Executive Director

Qualifications

  • 2-3 years’ work experience in an arts administration, marketing, communications, and/or business-related field
  • Graphic design and website experience a plus
  • Excellent writing, organization, inter-personal, and customer-service skills
  • Strong administrative skills, with required agility in Microsoft Office (Word, Excel, Adobe Creative Suite, Outlook, SharePoint), database management
    • Experience with Salesforce, Canva, Photoshop, a plus but not required

Schedule

  • Occasional evenings and weekends for concerts and other events as required.
  • Start date: September 2025

Compensation

  • Full-time Employee (40 hrs./week)
  • Salary range: Full-Time: $43,000/year
  • Depending on the hours, health insurance, paid vacation, and PTO available
